If we don’t see people in the system how would you like us to communicate that to you?
please clarify - if you are a HR Manager and don’t see an essential worker in ORMS?
I am not an HR manager but I have permission to view
So HR will add those people to the system as needed
if an employee needs to go to campus to collect personal belongs due to resignation/termination do they need to be in the ORMS and then removed?
Have all university support personnel been added to the system?
there is a scheduling field in ORMS where you can add the specific date or days
Can you clarify the procedure for documenting a non-employee, for example someone who is here by appointment to repair lab equipment, as it relates to ORMS?
what about door access. Is that different?
LBRE, ITSS, Fire Marshal
I guess regular employee who are collecting mail once a week should also be recorded in ORMS?
@linda - if they have a valid sunetID they can be added the same way as regular staff
@heideh - I would reach out to Al Roa or Egardo Obando for LBRE
Can students and faculty be included in they system? Does this system work in sync with the Health Check? Can info be populated reversely - someone completes the health check and comes on site and requests access to a building to pick up items?
Yes- student (post docs) and faculty have been added in ORMS
If someone is approved for Stage 0 does that mean they are approved for all stages going forward? They are still required to be on campus - thx
What if you are not sure what dates they will need to come in on a weekly basis; do we just select a day, or do we select all days (if a different day each week)
What if employees come onsite sporadically maybe once or twice every couple of weeks (not a consistent schedule). How do we record this in the system? Do you we create a new record? Do we update the current record to revise the custom dates every time the employee comes onsite?
so even if someone terminates we should leave them in the system..is there something that should be updated in their profile?
If someone is coming on campus for 5 mins or less to pick up something from their office, I assume we put them into ORMS, but what percentage should we use for their % of work on site?
Is there a way to do a bulk upload?
This maybe obvious to everyone, but are we inputting for our departments or is HR at our Dean's office inputting the names?
@lee - i’ll cover the bulk upload after Michelle
@ Jennifer - Thanks
We've been told we don't have to enter someone who is picking something up in ORMS. They have all been trained on the protocol and aren't normally interacting with others.
Does the people coming to repair any instruments needs to do health check ?
Yes, if they are coming on campus they must submit health check on any day they are on-site
how do they get access to Stanford system? if they don't have a Stanford ID.
Are you referring to individuals who do not work for Stanford University?
Oh, I am sorry. If you are talking about contractors who are not employees, those individuals must follow protocols issued by their employer for health monitoring. However, they are required to follow SU hygiene policy anytime they are on-site.
When we complete the mass upload will it notify us if there is a duplicate?
You mentioned the system won't allow duplicates but what if an employee has 2 job records in different departments/units? will the system allow for both entries to be in there?
How do you do a filtered download - just for my department? The csv file is for the full university
Yes, the system allows multiple entries for those who work in multiple units/roles
Could we set a search criteria as the default?
That answers my question. Thx!
If people are working in different building, when they come to campus, do we need to enter that too?
if someone is in ORMS but hasn't yet completed the training for some reason before needing to go to campus...does not doing the training prevent them from being on site?
Do we know of other problems with Hygiene training and it not ending up in the system. We've had an individual that stated they completed the training, but the system shows it's not completed.
great..thank you for clarifying
@jason- yes we were aware of folks not having the accurate training status when we launched in June. we have resolved the issue in Production so if you are getting inquiries of mismatches please let me know
